The Receptionist serves as the first point of contact for all visitors and callers to the organization. This role is responsible for managing front desk operations, handling incoming communications, and providing essential administrative support to ensure the efficient functioning of the office.
Key Responsibilities:
- Greet visitors and guests courteously and direct them appropriately.
- Manage incoming calls, screen, and route them to relevant departments.
- Maintain a clean, organized, and professional reception area.
- Monitor and restock office supplies, managing inventory records.
- Draft and distribute internal correspondence, memos, and documents.
- Provide administrative support (filing, photocopying, data entry).
- Deliver exceptional customer service in person and over the phone.
- Assist in office security, meeting room setups, and daily operations.
Qualifications & Requirements:
- Grade 12 certificate.
- Degree/Diploma in Front Office Management, Business Administration, or related field.
- 2+ years of experience in a receptionist or administrative role.
- Strong communication, organizational, and multitasking skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Professional demeanor and ability to handle confidential information.
